[Discussion] AGM on the 7th

I Imagine it would take the form of most agm meetings. [e.g. my cricket
club]
1. A report of progress re:membership numbers, and financial status plus
assets listed, read out by the [chairman] President Ed. or Secretary [sorry
Brian lol] usually a paper hard copy of the state of membership and
financial income and out goings is available to all interested parties
[sorry Wayne lol].
But we could probably dispense with most of that as I doubt we have
millions of dollars to keep track of, and Wayne reports on this each week
anyway.
2. Then I imagine any ammendments to our constituion discussed and voted
on, with [from hazy memory] a 50 % or 75% of financial members in favour [
can't remember exact figure we agreed on, also whether it was financial
members in total or financial members present], needed to ratify any
changes.
3. Then the existing committee members thanked for their contributions,
and nominations of new or existing office holders requested for positions.
Nominated, nomination accepted or not, then a vote for or against.
*Note: *In the case of number 2 and 3.... It might be worthwhile checking
Robert's Rules of meetings, to see if constitutional changes are voted on
before or after the voting in of the new committee. It might have some
importance in the scheme of things. e.g. preventing a "takeover" of the
organisation. I am not implying this is a possibilty in our case, just that
the potential exists and so is probably specified for somewhere in the
rules for the order of AGM meetings.
4. Then Any Other Business. E.g membership criteria, fees, capital
purchases etc....
5. Then tea and bikkies. Or Tangle beers and socialising.
It would be helpful to find that founding document as it probably lays out
the finer details that I can't remember.
However If Ed is away for a while, perhaps we could use the format above as
a basic structure, subject to comments from all members and any changes
people feel need to be made prior to the meeting. It's a start, feel free
to comment. it will allow us to prepare any reports needed in time for next
week.
